These Terms and Conditions govern the use of services provided by OMNIA Mental Health Clinic (“OMNIA”, “we”, “our”, or “us”). By booking an appointment, using our services, or accessing our website, you agree to these terms.

2. Scope of Services

OMNIA provides psychological assessment, therapy, counselling, neurofeedback, TMS, and related mental health services.

Our services are not a substitute for emergency medical care.

If you are in crisis or at immediate risk of harm, contact emergency services or your GP immediately.


3. Appointments

Appointments can be scheduled via phone, email, or online booking.

Clients are responsible for providing accurate contact details and informing the clinic of any changes.

Please arrive on time. Late arrival may result in a shortened session.


4. Cancellation Policy

We require a minimum of 48 hours’ notice for cancellations or rescheduling.

Appointments cancelled with less than 48 hours’ notice, or missed without notice, may be charged the full session fee.

Repeated missed appointments may result in discontinuation of services.


5. Fees and Payment

Fees are communicated at the time of booking or assessment.

Payment may be required:

  • In advance

  • At the time of service

  • According to agreed arrangements

Accepted payment methods will be specified by the clinic.

Outstanding balances may result in suspension of services.


6. Refunds

Refund requests are reviewed on a case-by-case basis.

Refunds are not typically provided for missed appointments or late cancellations.


7. Confidentiality

All therapy sessions and client information are treated as strictly confidential.

Confidentiality may be limited where disclosure is required by law or necessary to prevent serious risk of harm, including:

  • Risk to yourself or others

  • Safeguarding concerns

  • Legal obligations

  • Court orders

Where appropriate, disclosure will be discussed with you whenever possible.


8. Clinical Records

OMNIA maintains secure clinical records in accordance with professional and legal requirements.

Clinical notes and reports remain the property of the clinician and clinic.

Clients may request access to their personal data in accordance with GDPR. Administrative fees may apply where permitted.


9. Communication

Email and electronic communication may not be fully secure.

OMNIA will take reasonable steps to protect confidentiality but cannot guarantee absolute security.

Electronic communication should not be used for emergencies.


10. Website Use
